Who we are

Loss Logic Pro ("the Service") is operated by G&G Paradigm, LLC dba PDR Logic ("we", "us"), a Colorado limited liability company based in Elizabeth, Colorado. The Service includes the Loss Logic Pro Android app, the mobile web app, and the portal at app.pdrlogic.com. It is an estimate-dispute and submission-management service used by independent auto-repair facilities and the PDR Logic estimating team. Accounts are created by PDR Logic for invited facilities; there is no public sign-up.

What we collect

• Account data. Email, display name, role (admin/estimator/client/sales), facility/estimator linkage, phone (optional). Used to authenticate and route work.
• Submission data. Vehicle (year, make, model, VIN, odometer), vehicle-owner contact information as provided by the facility, claim/policy/RO numbers, insurance carrier, photos, supporting documents, and messages between facility and estimator. Used to fulfill estimate work.
• Operational data. Audit log of sensitive actions (login, role changes, deletions), notification delivery records, AI-extraction usage, and error reports (crash logs and basic device/browser information).
• Not collected. We do not collect your location, contacts, or payment-card data, and we do not use advertising identifiers.

How we use it

• To deliver estimate-handling services to your facility.
• To send transactional notifications (estimate received / assigned / returned / new message) by email (via Resend) and SMS (via Twilio).
• To detect and prevent abuse, debug failures, and improve reliability.
• We do not sell your data, and we do not share it with advertisers.
• Claim information is sent to an insurance carrier only when a facility or its estimator chooses to send a supplement or other correspondence to that carrier.

Camera, photos, and files

The app asks for camera access so you can photograph VIN labels, odometers, vehicles, insurance documents, and intake forms. The camera preview is never recorded or transmitted — only the still photos you capture or choose to attach are uploaded, and only to your facility's submissions. You can also attach photos and files you select from your device or from Google Drive; we receive only the items you select.

Service providers

These companies process data on our behalf, only to provide the Service:

• Supabase — database, authentication, file storage, realtime sync.
• Netlify — application hosting and serverless functions.
• Resend — transactional email delivery (notifications).
• Twilio — transactional SMS delivery (notifications).
• Anthropic — AI reading of VIN labels, odometers, estimates, and intake forms. Images and document text are sent to Anthropic when you capture or upload them for automatic reading, and, if your facility connects Gmail, insurer emails and PDF attachments matched to your jobs are sent automatically (see Gmail integration). Under Anthropic's commercial terms, these inputs and outputs are not used to train its models by default.
• Google — Google Sign-In and the Google Drive file picker, when you choose to use them; and, for facilities that connect a Gmail account in the portal, sending and receiving claim-related email on that facility's behalf. On Android, the app also uses Google's scanning tools to read VIN barcodes and to scan documents; the scanning happens on your phone, and Google receives device and app information (including device identifiers) as described in Google's own terms. Loss Logic Pro's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
• ElevenLabs — text-to-speech for spoken answers in the portal's Assistant, when used.
• NHTSA vPIC — public US government VIN-decoding service. We send only the 17-character VIN; no personal information.
• Amazon Web Services (S3) — encrypted weekly database backups.
• Sentry — error monitoring. Reports from non-production pages are dropped, and VINs, email addresses, and long numbers are redacted from error messages before they are sent.

Gmail integration

A facility owner or office user can connect the facility's Gmail account in the portal. This is optional; if your facility does not connect Gmail, nothing in this section applies.

What connecting allows. Loss Logic Pro asks Google for three permissions:

• Send email — to send the supplements and estimates your facility chooses to send, from your Gmail address, to the insurer (and to the vehicle owner if you choose to copy them), plus automatic insurer follow-ups if your facility turns that setting on.
• Read email — about every 5 minutes we check your inbox for messages from the last 48 hours, to find insurer replies to claims you sent through Loss Logic Pro. A message is a reply when it is in the same Gmail conversation as an email we sent for that job, or when its subject or opening text contains that job's claim number.
• Your email address — to show which account is connected.

What we keep.

• Messages that match a job: the sender, subject, date, message text, attachment names, and PDF attachments, stored with that job.
• Messages that don't match a job: only Gmail's internal message ID, so we don't check the same message twice. We never keep their sender, subject, text, or attachments, and the IDs are deleted after 7 days.
• Your connection: the access keys Google issues to us, stored encrypted. The encryption key is held separately from the database.

Automatic analysis. When an insurer reply matches a job, its text and PDF attachments are sent automatically to Anthropic, our AI provider, to compare the insurer's estimate with yours and help draft a response. Anthropic does not use this data to train its models by default.

Who can see it. Owner and office users at your facility can see matched insurer emails on their facility's jobs. PDR Logic staff working on a job you send us can see the insurer emails and attachments matched to that job; the Connect Gmail screen tells you this before you connect. We never read your other mail, and we do not keep it. Otherwise, PDR Logic staff access Gmail data only for security, to comply with the law, or to investigate a problem you report. We do not sell Gmail data, use it for advertising, or use it to train AI models.

How long we keep it. Matched emails stay with their job while the job exists. When a job is deleted, it is permanently purged 30 days later, and its matched emails and attachments are deleted with it. If you disconnect Gmail, we revoke our access at Google and delete the stored access keys immediately; emails already attached to jobs remain with those jobs unless you ask us to delete them.

How to stop it. Disconnect Gmail in the portal's Email Integration card, or remove Loss Logic Pro at myaccount.google.com/permissions. Either way we can no longer read or send your mail. To have us delete Gmail data we already hold, email jon@ggparadigm.com.

Data retention

• Active submissions: retained for the duration of your facility's account.
• Deleted submissions: permanently purged 30 days after deletion, including any insurer emails matched to them.
• Gmail data: see Gmail integration.
• Audit log: entries are deleted after 90 days.
• Backups: taken weekly and automatically deleted after 90 days.

Your rights and account deletion

You may request a copy or deletion of your account and its data at any time by contacting your facility's admin or emailing jon@ggparadigm.com. We respond within 30 days. Deleting an account removes the user's login and personal data; submissions that belong to a facility remain with that facility's account until the facility asks for them to be deleted.

Security

We use TLS encryption in transit, row-level security in the database, signed short-lived URLs for stored files, and per-user authentication backed by Supabase Auth. Admin actions are authorized server-side.

Children

The Service is for business use and is not directed at children under 13.

We will update this page when our practices change and revise the date above.
